AI & AUTOMATION / WORKFLOW AUTOMATION

Stop moving information
by hand.

MWorks automates repetitive business workflows by connecting the systems you already use — forms, CRM, email, payments, databases, APIs, and internal processes.

A GOOD FIT

When people are doing the integration manually.

If staff repeatedly transfer information, create the same records, send predictable notifications, update multiple systems, or follow the same operational sequence, there may be a workflow worth automating.

01

Copying data between systems

Information is repeatedly moved from website forms, spreadsheets, CRM, email, payments, or other applications.

02

Repetitive record creation

A lead, customer, transaction, appointment, order, or request causes the same records to be created every time.

03

Manual notifications

Someone has to remember to email, message, assign, escalate, or notify another person when an event occurs.

04

Delayed handoffs

Work stalls because one person must manually hand information to the next person or department.

05

Inconsistent processes

Staff complete the same workflow differently, causing missed steps, duplicate records, or incomplete data.

06

Several systems hold one process

The workflow crosses websites, CRM, billing, email, databases, internal tools, or third-party APIs.

AUTOMATION BUILDING BLOCKS

A workflow is more than connecting App A to App B.

Reliable automation needs to know what starts the process, what information is required, which rules apply, what happens when something fails, and where the final result should be stored.

01 / TRIGGERS

Events That Start the Workflow

Form submissions, payments, new orders, CRM changes, scheduled times, incoming messages, database events, or API calls.

02 / DATA

Inputs & Validation

Retrieve the required information, check whether it is complete and valid, normalize formats, and prepare it for the next step.

03 / LOGIC

Rules & Branching

Route the workflow based on values, conditions, status, ownership, business rules, or other deterministic decisions.

04 / INTEGRATIONS

APIs & Webhooks

Exchange information between websites, CRM, billing, communication platforms, databases, SaaS tools, and custom systems.

05 / ACTIONS

Create, Update & Notify

Create records, update fields, send email, generate documents, assign tasks, trigger payments, or call another service.

06 / CONTROL

Errors, Approvals & Logging

Retry failed steps, route exceptions, request human approval, record activity, and make failures visible instead of silent.

BEFORE & AFTER

Remove the handoffs that do not need a person.

Automation does not eliminate the business process. It removes unnecessary manual steps so people spend their time where judgment, communication, and actual work are required.

BEFORE

Manual Workflow

Customer submits a form

Staff reads the email

Staff creates CRM record

Staff copies contact information

Staff assigns the lead

Staff sends acknowledgement

Staff creates follow-up task

AFTER

Connected Workflow

Customer submits a form

Data is validated automatically

CRM record is created

Lead is routed by defined rules

Acknowledgement is sent

Follow-up task is created

Staff receives the ready-to-work lead

OPERATIONAL RELIABILITY

A workflow needs to fail safely.

A successful demo is not enough. Production automation needs to account for bad data, unavailable APIs, duplicate events, permission problems, and unexpected responses.

01

Validation

Check required values and expected formats before sending bad data into downstream systems.

02

Duplicate Protection

Reduce accidental duplicate records or repeated actions when the same event is delivered more than once.

03

Retry & Failure Handling

Retry temporary failures where appropriate and route persistent problems into a visible exception path.

04

Logging

Record important workflow activity so failures, changes, and automated actions can be investigated.

05

Human Escalation

Stop and notify a person when the workflow reaches a case that should not continue automatically.

THE PROCESS

Map it before automating it.

The fastest way to automate the wrong thing is to start building before the actual business process is understood.

01 / MAP

Document the Current Workflow

Identify triggers, systems, manual steps, handoffs, rules, outputs, delays, and failure points.

02 / DESIGN

Design the Automated Flow

Define what should be automated, what stays manual, how systems connect, and how exceptions are handled.

03 / BUILD

Connect & Implement

Configure APIs, webhooks, automation logic, credentials, data transformation, and actions.

04 / VALIDATE

Test & Release

Test normal cases, failures, duplicates, exception paths, permissions, and production behavior.

STARTING INVESTMENT

The scope depends on the workflow.

Automation projects are priced around the number of systems,
workflow complexity, data handling, AI requirements, testing, and operational risk.

WORKFLOW AUTOMATION

From $3,500

Best for defined workflows involving forms, CRM, email, payments, APIs, databases, notifications, and business rules.

AI INTEGRATION

From $5,000

Add AI capabilities such as classification, summarization, extraction, drafting, retrieval, or decision support to an existing workflow or application.

AI ASSISTANT / AGENT

From $7,500

Build a controlled AI-powered interface that can retrieve information, assist users, perform approved actions, or participate in business workflows.

PROJECT SCOPE

The complexity is usually in the connections.

Typical workflow project can include

  • Workflow mapping
  • Form automation
  • CRM record creation
  • CRM updates
  • Email notifications
  • Webhooks
  • REST API integration
  • Payment events
  • Database updates
  • Conditional logic
  • Data transformation
  • Approval steps
  • Error handling
  • Logging
  • Production testing

Often scoped separately

  • AI interpretation or generation
  • Custom application interfaces
  • Large data migrations
  • Complex ERP integration
  • Enterprise identity systems
  • Large reporting environments
  • Custom dashboards
  • Proprietary API development
  • Custom mobile applications
  • High-volume data pipelines
  • Third-party subscriptions
  • Ongoing API usage costs

FAQ

Before automating the process.

What systems can you connect?

MWorks can integrate many websites, CRM systems, payment platforms, databases, email services, SaaS applications, and custom systems when they provide a suitable API, webhook, connector, or other supported integration method.

Do you use AI for workflow automation?

Only where it helps. If the workflow can be handled reliably with deterministic rules and integrations, that is usually preferable. AI can be added when the process needs interpretation, extraction, classification, summarization, or similar capabilities.

What happens if an automation fails?

Production workflows can include retry logic, validation, logging, duplicate protection, alerts, and exception handling so failures are visible and can be resolved without silently losing the process.

Can the workflow require approval?

Yes. Human approval can be inserted before selected actions when the process involves judgment, money, sensitive communication, or another decision that should remain under human control.

Do we have to replace our existing software?

Usually not. Workflow automation is often most useful when it connects the tools the business already uses rather than forcing an unnecessary system replacement.

What if we are not sure what should be automated?

That is normal for more involved workflows. MWorks can begin with discovery and process mapping. If the broader technology problem crosses several systems or departments, a Business Technology Assessment may be the better first step.
