CUSTOM SOFTWARE / BUSINESS APPLICATIONS

Replace the workaround.
Build the operating system.

MWorks builds custom internal applications that bring records, workflows, permissions, communication, reporting, and business logic into one system designed around the way your operation actually works.

A GOOD FIT

When the workflow has outgrown spreadsheets and disconnected tools.

Internal software becomes valuable when an important process depends on manual tracking, multiple tools, inconsistent handoffs, duplicate data, or systems that were never designed to work together.

01

Spreadsheets run the operation

Important records, statuses, assignments, or calculations depend on shared spreadsheets that are increasingly difficult to control.

02

Work happens in inboxes

Email and messages are being used as a workflow system for assignments, approvals, status updates, and internal coordination.

03

Records live in multiple places

Customer, project, order, service, asset, or operational data is duplicated across several disconnected systems.

04

Managers lack visibility

It is difficult to see current status, workload, exceptions, performance, bottlenecks, or what needs attention.

05

Teams follow different processes

The same work is handled differently depending on the employee, creating inconsistent data and missed steps.

06

Off-the-shelf software almost fits

Existing software handles part of the problem, but the business is constantly working around its limitations.

FROM WORKAROUND TO SYSTEM

Turn scattered operational work into one structured workflow.

A business application creates a controlled place for the records, actions, statuses, people, and decisions that currently live across disconnected tools.

BEFORE

The Process Is Spread Everywhere

Spreadsheet holds the master list

Email handles approvals

CRM holds some customer data

Documents are stored separately

Status is updated manually

Reports require manual preparation

Nobody has one complete view

AFTER

Connected Workflow

Central records and relationships

Defined workflow statuses

Role-based access

Documents connected to records

Automated tasks and notifications

Dashboards and reporting

One operational view

APPLICATION BUILDING BLOCKS

Records are only the beginning.

A useful business application combines structured information with workflows, permissions, integrations, visibility, and the rules that govern how work moves through the organization.

01 / RECORDS

Structured Business Data

Customers, projects, orders, cases, assets, jobs, vendors, documents, transactions, or any other record the process depends on.

02 / WORKFLOWS

Status & Process Control

Define stages, assignments, approvals, transitions, deadlines, required actions, and what happens next.

03 / PERMISSIONS

Role-Based Access

Control what administrators, managers, staff, customers, vendors, or other user types can view and change.

04 / DASHBOARDS

Operational Visibility

Surface workload, status, exceptions, activity, KPIs, deadlines, and the information each user needs to act.

05 / INTEGRATIONS

Connected Systems

Connect payments, CRM, email, accounting, automation, websites, APIs, external data, and the tools the business already uses.

06 / REPORTING

Business Reporting

Turn operational records into filters, summaries, exports, performance views, and decision-ready reporting.

WORKFLOW ARCHITECTURE

The application should know what happens next.

Instead of relying on memory and manual handoffs, the application can guide work through defined states, permissions, actions, notifications, and exceptions.

01

Create The Record

Capture the required information through staff entry, forms, imports, APIs, or connected systems.

02

Assign Responsibility

Route the record to the correct user, team, location, department, or queue.

03

Move Through Statuses

Define what each stage means, which actions are allowed, and what is required before moving forward.

04

Trigger Actions

Send notifications, create tasks, generate documents, update systems, collect payments, or start automations.

05

Surface Exceptions

Make overdue, incomplete, failed, unusual, or high-priority records visible to the right people.

06

Preserve History

Maintain status changes, activity, notes, actions, and relevant audit history around the record.

THE PROCESS

Build the workflow before building every feature.

The first version should solve the most important operational problem clearly, then expand from real usage rather than assumptions about every future requirement.

01 / DEFINE

Map The Operation

Identify users, records, workflows, business rules, permissions, integrations, bottlenecks, and required outputs.

02 / DESIGN

Design The System

Define the data model, workflows, application screens, roles, architecture, and first production release.

03 / BUILD

Develop & Integrate

Build the interfaces, workflows, database, permissions, integrations, reporting, and automation.

04 / RELEASE

Validate In Production

Test with real scenarios, deploy the application, onboard users, monitor behavior, and prioritize the next iteration.

Investment

Custom Business Application

From $15,000

Pricing depends on the number of user roles, workflows, records, integrations, dashboards, permissions, reporting requirements, and custom business logic involved.

Larger operational platforms are typically developed in phases so the first production release solves the highest-value workflow before the system expands.

PROJECT SCOPE

Start with the application the business needs now.

Business applications work best when the first release focuses on the most important operational workflow rather than attempting to replace every system immediately.

A project may include

  • Discovery and workflow mapping
  • Custom dashboards
  • Business records
  • Database design
  • Authentication
  • Role-based permissions
  • Status workflows
  • Assignments and queues
  • Search and filtering
  • File and document handling
  • Notifications
  • Reporting
  • API integrations
  • Workflow automation
  • Production deployment

Often scoped separately

  • Large data migrations
  • Native mobile applications
  • Complex enterprise identity
  • Large-scale reporting warehouses
  • Proprietary ML model development
  • Regulatory certification work
  • Large third-party licensing costs
  • Paid external APIs
  • High-volume infrastructure
  • Major post-launch feature expansion
  • Ongoing support and hosting

FAQ

Before building the application.

Do we need to replace all of our current systems?

Usually not. A custom business application can work alongside existing CRM, accounting, payment, email, or other systems and connect to them where suitable integrations are available.

Can you replace our spreadsheets?

Yes, when the spreadsheet is effectively functioning as a database or workflow system. The new application can introduce structured records, validation, permissions, history, reporting, and controlled workflow behavior that a spreadsheet does not provide well.

Can different employees have different access?

Yes. Applications can support role-based permissions so different users, teams, managers, administrators, locations, or organizations can be given appropriate access to records and functionality.

Can the application automate parts of the workflow?

Yes. Status changes, assignments, notifications, document creation, system updates, API calls, reminders, and other repetitive steps can be automated where appropriate.

Can we add features later?

Yes. In most cases, that is preferable to trying to predict every future feature in the first release. The application can be designed so additional workflows, integrations, user types, and reporting can be introduced in later phases.

What if our requirements are not fully defined?

That is common. The project can begin by mapping the current operation, identifying the highest-value workflow, defining the users and data involved, and determining the first useful release. For a broader technology problem, the Business Technology Assessment may be the better starting point.
