CUSTOM SOFTWARE & BUSINESS SYSTEMS

Build the system
your business actually needs.

MindWorks designs and builds custom business applications, customer portals, internal systems, integrations, and SaaS products when off-the-shelf software no longer fits the way the business needs to operate.

CUSTOM BUSINESS APPLICATIONS

From $15,000

A GOOD FIT

When the business process no longer fits the software.

Custom software makes sense when important work depends on spreadsheets, disconnected tools, workarounds, duplicate entry, or software that forces the business into the wrong process.

01

The workflow is unique

The business has a process that standard software does not support cleanly without constant workarounds.

02

Too many tools are involved

Teams move between spreadsheets, CRM, email, forms, billing systems, documents, and disconnected applications.

03

Customers need secure self-service

Customers, vendors, members, or partners need a dedicated place to access information or complete tasks.

04

Internal work needs structure

Teams need one system for records, statuses, workflows, reporting, permissions, and operational visibility.

05

Existing software needs to connect

The business already has useful tools, but data and workflows need to move between them reliably.

06

The software itself is the product

You are building a SaaS platform, customer-facing application, or digital service that will become part of the business model.

WHAT WE BUILD

Software built around the process it needs to support.

The right solution may be an internal application, customer portal, configured business platform, integration layer, or a complete SaaS product.

01 / APPLICATIONS

Custom Business Applications

Internal applications for managing workflows, records, operations, approvals, reporting, and business-specific processes that generic tools do not fit.

02 / PORTALS

Customer & Client Portals

Secure customer-facing systems for accounts, documents, requests, billing, status, communication, or self-service.

03 / BUSINESS SYSTEMS

CRM & Operational Systems

Configure, extend, or build systems for customer records, sales processes, service delivery, invoicing, projects, and operational workflows.

04 / INTEGRATIONS

System & API Integrations

Connect websites, payments, CRM, applications, databases, APIs, automation, and external services into one working system.

05 / SAAS

SaaS Products

Build software products with customer accounts, subscriptions, permissions, business logic, billing, administration, and production infrastructure.

06 / EXTENSIONS

Existing-System Extensions

Add custom workflows, dashboards, integrations, automation, or interfaces to systems that are already useful but need more capability.

START WITH THE BUSINESS PROBLEM

Buy. Configure. Rebuild.

Custom software is not automatically the right answer. If an existing platform can solve the problem well, MindWorks can configure and connect it. Custom development is reserved for the parts that actually need to be custom.

01 / BUY

Use Existing Software

Choose an established platform when it already handles the core requirement well and the business does not gain meaningful value from owning custom software.

02 / CONFIGURE

Adapt & Integrate

Configure existing software, add automation, connect APIs, extend workflows, or build smaller custom pieces around a proven platform.

03 / BUILD

Create the Custom System

Build custom software when the workflow, customer experience, product model, integration requirements, or strategic value justify a dedicated solution.

MORE THAN THE INTERFACE

The application is only one layer of the system.

A useful business application combines interface, data, permissions, workflows, integrations, infrastructure, and operational controls into one maintainable environment.

01

User Experience

Dashboards, forms, workflows, tables, search, mobile behavior, and the interfaces people actually use.

02

Business Logic

Rules, statuses, calculations, approvals, workflow transitions, and the behavior specific to the business.

03

Data

Database structure, validation, records, relationships, reporting, retention, and controlled access.

04

Integrations

Payments, CRM, APIs, messaging, email, external data, automation, accounting, and other business systems.

04

Identity & Permissions

Authentication, roles, organization boundaries, permissions, and access to sensitive functionality.

04

Infrastructure

Hosting, deployment, environments, backups, monitoring, security, logs, and production operations.

THE PROCESS

Define the system before building the features.

Custom software gets expensive quickly when requirements are discovered only after development begins. The first phase is about understanding the workflow, users, data, integrations, and minimum useful product.

01 / DEFINE

Understand the System

Map users, workflows, data, business rules, integrations, requirements, constraints, and the problem the software must solve.

02 / DESIGN

Design the Product

Define architecture, user flows, interfaces, data structure, permissions, feature priorities, and the first production scope.

03 / BUILD

Develop & Integrate

Build the application, implement workflows and data, connect external systems, and validate features incrementally.

04 / VALIDATE

Deploy & Evolve

Complete production QA, deploy the system, monitor the launch, and plan the next iteration from actual user and business feedback.

STARTING INVESTMENT

The scope depends on the workflow.

Automation projects are priced around the number of systems,
workflow complexity, data handling, AI requirements, testing, and operational risk.

BUSINESS APPLICATION

From $15,000

Internal applications and operational systems built around a specific business workflow.

CUSTOMER PORTAL

From $10,000

Secure customer-facing portals for accounts, requests, status, docs,  billing, or self-service.

CRM / BUSINESS SYSTEM

From $5,000

Configure, extend, or integrate a CRM or operational platform around the business process.

API / SYSTEM INTEGRATION

From $3,500

Connect applications, payments, databases, CRM, APIs, and existing business systems.

After Launch

Software needs an owner after it reaches production.

MindWorks can continue hosting, monitoring, maintaining, deploying, troubleshooting, and supporting custom applications after launch.

Application Care

Ongoing application maintenance, deployment, monitoring, support, backup oversight, and technical care.

From $499/mo

Managed App Hosting

Production hosting and deployment designed around the application's architecture and requirements.

Custom

Managed Infrastructure

Ongoing cloud, environment, backup, monitoring, security, and deployment oversight.

From $750/mo

PROJECT SCOPE

Custom software is scoped around the first useful release.

A strong first version solves the highest-value problem without trying to build every possible future feature on day one.

A project may include

  • Discovery and requirements
  • Workflow mapping
  • Application architecture
  • UX and interface design
  • Database design
  • Authentication
  • Role-based permissions
  • Business logic
  • Dashboards and reporting
  • API integrations
  • Stripe / billing integration
  • Automation
  • Email and notifications
  • Production deployment
  • QA and launch support

Often scoped separately

  • Large data migrations
  • Native mobile applications
  • Complex enterprise identity
  • Large-scale reporting warehouses
  • Proprietary ML model development
  • Regulatory certification work
  • Large third-party licensing costs
  • Paid external APIs
  • High-volume infrastructure
  • Major post-launch feature expansion
  • Ongoing support and hosting

FAQ

Before building custom software.

How do I know if we actually need custom software?

You may not. MWorks first looks at whether an existing product can solve the problem, whether that product can be configured or integrated, and which requirements truly justify custom development.

Can you build on top of software we already use?

Yes, where the existing platform provides appropriate APIs, extension points, data access, or integration capabilities. A hybrid solution is often more practical than replacing everything.

Can the software include AI or automation?

Yes. AI, workflow automation, and system integrations can be part of the application where they improve the process. They are treated as system capabilities rather than added simply because they are available.

Who owns the software?

Ownership and licensing are defined in the project agreement. Client-specific custom application code can be structured for client ownership, while third-party frameworks, libraries, services, and licensed components remain subject to their respective licenses.

What happens after the application launches?

MWorks can continue managing the application through Application Care, managed hosting, infrastructure management, monitoring, deployment, maintenance, and future development.

What if we do not know the full requirements yet?

That is common. The first step is to define the business problem, users, workflow, existing systems, and first useful release. For broader or less-defined technology problems, the Business Technology Assessment may be the better starting point.
