AI & AUTOMATION
Automate the work.
Keep control of the process.
MindWorks connects systems, removes repetitive manual steps, and introduces AI where it can improve a real business workflow - without turning the process into a black box.
A GOOD FIT
When the same work happens over and over.
Automation is most useful where information repeatedly moves between people and systems, decisions follow recognizable rules, or staff spend time performing predictable tasks that software can assist with safely.
01
Repetitive data entry
Staff repeatedly copy information from forms, email, spreadsheets, CRM, or one application into another.
02
Manual handoffs
A process depends on someone remembering to notify the next person, create a task, or update another system.
03
Information needs classification
Messages, documents, leads, requests, or records need to be categorized, summarized, routed, or enriched.
04
Systems do not talk to each other
Website, CRM, payments, email, operations, and reporting tools each hold part of the process.
05
Staff need faster access to information
Teams repeatedly search documents, systems, or records to answer similar questions and complete routine tasks.
06
AI may help — but you need boundaries
The business wants practical AI capability without allowing uncontrolled actions or unsupported decisions.
WHAT CAN BE AUTOMATED
Start with the workflow, not the AI model.
Many useful automations require no AI at all.
Others benefit from AI for interpretation, drafting, classification, or retrieval.
MindWorks uses the simpler approach when the simpler approach is enough.
01 / LEADS
Lead Intake & Routing
Capture inquiries, enrich records, classify intent, assign ownership, create CRM records, and trigger the correct follow-up sequence.
02 / OPERATIONS
Internal Workflow Automation
Create tasks, update systems, move data, send notifications, generate documents, and coordinate multi-step operational processes.
03 / AI
AI-Assisted Processing
Summarize, classify, extract, compare, draft, or interpret information where traditional rules alone are not enough.
04 / ASSISTANTS
AI Assistants & Agents
Give staff or customers a controlled interface for retrieving information, creating outputs, or performing approved actions across systems.
05 / COMMERCE
Order & Customer Workflows
Connect orders, payments, customer records, notifications, fulfillment, support, CRM, and reporting systems.
06 / REPORTING
Reporting & Data Movement
Gather information from multiple systems, normalize it, update records, produce summaries, and surface exceptions that need attention.
WORKFLOW ARCHITECTURE
Automation is a chain of decisions.
Reliable automation requires more than connecting two apps. The workflow needs defined inputs, logic, failure handling, human review where appropriate, and a clear destination for the result.
01
Trigger
A form submission, payment, message, schedule, database change, API event, or human action.
02
Data
Gather the information required from the source systems and validate what is available.
03
Logic / AI
Apply deterministic rules, AI interpretation, or both depending on the task.
04
Action
Create a record, send a message, generate output, update data, or call another system.
05
System Update
Store the final state, create audit history, notify the right people, and continue the workflow.
06
Fulfillment
Shipping, pickup, delivery, operational workflows, reporting, and connected systems.
CONTROLLED AUTOMATION
Not every decision should be automatic.
AI and automation are most useful when the boundaries are clear. MindWorks designs workflows so high-risk or ambiguous steps can remain visible to the people responsible for the decision.
01
Approval Gates
Require human approval before selected actions, messages, transactions, or system changes are completed.
02
Confidence & Exception Handling
Route uncertain, incomplete, or unexpected cases to a person rather than forcing the automation to make a decision.
03
Logging & Visibility
Record workflow activity so important automated actions can be inspected, traced, and reviewed.
04
Role-Based Access
Limit which people, systems, and automated processes are allowed to view or change specific information.
THE PROCESS
Understand the workflow
before automating it.
The goal is not to automate everything.
The goal is to remove unnecessary work,
preserve the right human decisions,
and make the overall process more reliable.
Map the Current Process
Identify inputs, people, systems, handoffs, repetitive steps, delays, errors, and required decisions.
Design the Workflow
Decide which steps use rules, integrations, AI, human review, and exception handling.
Connect & Implement
Build the automation, connect APIs, configure prompts or logic, and create the required data flow.
Test With Real Scenarios
Validate expected cases, edge cases, human review paths, failure behavior, and production readiness.
STARTING INVESTMENT
The scope depends on the workflow.
Automation projects are priced around the number of systems,
workflow complexity, data handling, AI requirements, testing, and operational risk.
WORKFLOW AUTOMATION
From $3,500
Best for defined workflows involving forms, CRM, email, payments, APIs, databases, notifications, and business rules.
AI INTEGRATION
From $5,000
Add AI capabilities such as classification, summarization, extraction, drafting, retrieval, or decision support to an existing workflow or application.
AI ASSISTANT / AGENT
From $7,500
Build a controlled AI-powered interface that can retrieve information, assist users, perform approved actions, or participate in business workflows.

FAQ
Before automating the workflow.
Does every automation need AI?
No. Many reliable automations are better handled with deterministic rules and system integrations. AI is added where interpretation, language, classification, retrieval, or similar capabilities provide a real advantage.
Can you connect our existing software?
Often, yes. The integration depends on whether the systems provide APIs, webhooks, connectors, export/import capabilities, or another reliable integration method.
What happens if the AI is uncertain?
Workflows can be designed with human-review steps, confidence thresholds, exception handling, and fallback logic so uncertain cases are not forced through automatically.
Can an AI agent take actions in our systems?
Yes, where the connected systems support it and the action is appropriate. MWorks can design controlled permissions, approval requirements, logging, and guardrails around actions the agent is allowed to take.
Are AI usage fees included in the project price?
The implementation project covers the agreed development work. Ongoing model, API, automation-platform, hosting, or third-party service usage is normally billed separately through the applicable provider or managed-service agreement.
What if we are not sure what should be automated?
If the broader problem is clear but the implementation path is not, the Business Technology Assessment is the better starting point. It can identify workflow, integration, automation, and software priorities before committing to a specific build.

START WITH THE WORKFLOW
Show us the repetitive work. We’ll help determine what should be automated.
Bring the current process, the systems involved, and the result you want. MindWorks can determine whether the right solution is integration, rules-based automation, AI, an assistant, or a combination of them.
